The "Appointments" table under the telemedicine tab in the platform is where you will find a record of all telemedicine appointments scheduled through your clinics telemedicine scheduling portal. Below will be a description of some of the fields you will find there as well as status meanings for some of those fields.
Appointment Status Definitions
Pending - The appointment has been created but no additional updates have occurred. Typically the appointment as not happened yet. It is either scheduled for the future, or the patient has not joined and completed the telemedicine call.
Cancelled - The appointment was canceled in the system by the provider or Guardian Medical Direction
No-Show - The appointment was scheduled for a specific time and no patient arrived and we were not given notice of a rescheduling or cancellation within 1 hour prior to appointment time.
Occurred - The patient was seen by a provider. We determine this by receiving a notification that the telemed call was completed by our telemd provider, OR when a clearance form gets locked against the appointment. Note that billing only occurs when a clearance form gets locked against the appointment.
Clearance Status Definition
Pending - The system has not received a clearance form submission by a provider (otherwise known as locking a clearance form)
Approved - The system received a clearance form and the provider marked the "Cleared for Services" question as yes. Please note that a provider may approve a subset of services but not all. Please reference the clearance document itself as the source of truth.
Denied - The system received a clearance form and the provider marked the "Cleared for Services" question as no.
Other appointment table field definitions
Invoice Line ID - this is the line id that you will see for this specific appointment on your monthly invoice from Stripe
Evaluated Therapies - A list of therapies that the patient was evaluated for
Appointment Date - the date that the appointment either occurred (for on demand appt) or was scheduled.
Created Date - The date the patient filled out the scheduling intake form to create the appointment
When will I be billed?
When an appointment is created the system will generate an appointment record in the appointments table. This will be created as a "pending" appointment initially. You will not be billed for appointments in a pending state. When a provider locks a clearance form for your patient it will automatically attach to their corresponding appointment record, only then will we add the telemedicine appointment as one time line item to your invoice, and the invoice line id field will be populated with the corresponding line id. You will be charged for appointments added to your invoice on your regularly scheduled billing date.
