GMD EMR - Scheduling appointments
This document provides an overview of your EMR scheduling feature. To start booking appointments, you must configure the 3 following sections. You cannot successfully schedule an appointment without all three.
- Location (Portal Setup)
- Staff (Portal Setup)
- Services (Below)
Create Service Types
Service Types are the appointments you want to make available. Navigate to Scheduling from your settings.
- Service Details
- Give your service type a unique name.
- Choose Appointment from the type drop-down.
- Future development, adding in-person and telehealth as an option.
- If you would like a resource to always be associated with this appointment type, add it here.
- For example, if you always put sick appointments in the same room or if you require certain equipment to be checked out in advance.
- Add the staff that can service this type of appointment. Choose 1 or multiple individuals.
- Lastly, check the Default Service button, This is being removed with future development but for now it is required.
- Booking Time & Limits
- Service Duration: The amount of time intended to spend with the Patient
- If variable, check the variable duration button and choose a minimum and maximum timeframe. This will allow the booker to choose a timeframe in between.
- Booking Limit: This lets you choose the maximum number of this type of appointment that can be booked in a day.
- Booking Interval: Sets the times at which appointments can be offered
- Eg: If set to 15 mins, appointments will be offered at 9:00, 9:15, 9:30, etc.
- Padding: This is the time added to each appointment to prepare for or travel to the next appointment.
- Service Duration: The amount of time intended to spend with the Patient
- Availability: Define the days & times of the week this service is available.
Block Dates & Times: Block entire days or times that this service will not be available.- One-time, daily, weekly, or monthly.
- Review, edit or publish! You must publish the appointment so it is available in the appointments tab.
Book a New Appointment
- Schedule a new appointment by selecting the Appointments tab on the left navigation pane:
- Scheduling an appointment automatically syncs to your provider calendar.
- Filter available services by Service Name/Type, Location and or Provider.
- Choose a provider to display the provider's availability.
- To choose an existing patient, use the simple search bar or the list many icon to search by a specific field.
- To add a patient, choose the Add New Patient Button and follow the prompts to add patient information, insurance information and a description.
- Once the appointment has been scheduled, you can view it from the appointments tab.
- Appointments are organized by date, with upcoming appointments listed at the bottom.
- From the appointments in the left navigation panel, appointments list: Provider, Patient, Date and Time, Duration, Location and Status.
- Appointment status indicates "Booked" or "Canceled"
